RECOGNIZING EXCELLENCE

 

The Alabama Counseling Association has established a formal process by which the exemplary acts of its members are officially acknowledged and recognized.  The Awards & Resolutions Committee has been charged with overseeing this important process.

 

The Presidents of the various ALCA Chapters and Divisions are expected to initiate the process by identifying the exceptional accomplishments and contributions of their members. Chapters and Divisions should nominate eligible individuals from among their members who they feel have distinguished themselves in such a way as to inspire admiration for their acts.  Through the awards process, Chapters and Divisions can seek to honor these outstanding members of their organization and gain recognition for their group.

 


AWARDS PROCESS

 

Solicitation and collection of nominations with supporting data may begin May 1. Determination of the Chapter/Division Outstanding Member Awards may be prior to May 1, possibly at the last meeting before May 1. Procedures for the awards process need to be emphasized on an ongoing basis.

 
A formal Awards Booklet shall be passed to the incoming President and incoming Awards & Resolution Chair for of each chapter and division by May 1 from that Chapter or Division’s outgoing Awards & Resolutions Chair.

 

The ALCA Awards and Resolutions Chair shall solicit the names and addresses of the Chapter/Division Awards Chairs from the Presidents by June 1 or soon thereafter.

 

A formal news release for soliciting nominations will be provided to the Newsletter Editor for the Spring issue.

In order to be nominated, nominees shall be limited to the membership of the Alabama Counseling Association except as allowed by specific awards.

 

A nominee may be considered for multiple different awards but shall only be allowed one nomination per award. Multiple nominations for a nominee to be considered for the same award shall construe one combined nomination.

 

Chapters and Divisions may cooperate to submit a joint nomination for an award. Chapters and Divisions shall coordinate and submit only one nomination form and support data for the same nominee for a specific award. This documentation shall reflect that multiple chapters/divisions coordinated for this nomination.

 

The awards committee shall establish deadlines for the submission of all materials related to nominations. These deadlines shall be published in the newsletter no later than the Summer edition. No materials may be considered for nomination after its deadline has passed. The deadline for nomination forms and supporting material to be postmarked to the Award Chair (Deadline 1) shall be determined by the committee but shall not be later than September 15 of that year.

 

Except for the President's Awards, Deadline 1 shall be the deadline for Chapter/Division Awards Chairs to postmark resolutions for deceased or retiring members and nomination forms with completed data, including nominations for Chapter and Division awards. The ALCA Awards and Resolutions Chair will not accept any nominations for consideration that are postmarked later than Deadline 1. The ALCA Awards and Resolutions Chair will forward nomination materials to the committee members for evaluation by their approved deadline. Recipients of the President's Awards will be determined and sent to the ALCA Awards and Resolutions Chair four weeks prior to the Annual Conference.

 

Rating sheets for each award will be included in the nomination materials mailed to each committee member. These forms are to be filled in completely and mailed to the ALCA Awards and Resolutions Chair by the pre-approved deadline, which shall be no later than three weeks prior to the start of the Annual Conference. These rating sheets will be reviewed and tallied as a committee prior to the Annual Conference to determine the final award recipients.

 

Except for the Chapter and Division awards and the Recognition of Deceased or Retiring Members, a minimum score of 3.8 on a 5.0 scale is necessary to qualify for consideration for an award, which means that a specific award category could be omitted at the Annual Conference. Certificates for Recognition for nominees who do not place for an award will not be given, but all nominees will be announced at the Annual Conference.

 

Certificates or plaques will be presented to recipients during the Awards Breakfast of the Annual Conference for the standing Awards, including but not limited to:

Distinguished Professional Service Award

Outstanding Practitioner Award

Distinguished Legislative Service Award

Jean H. Cecil Distinguished Counselor Educator Award

Wilbur A. Tincher Award for a Humanitarian & Caring Person

 

Chapter and Division Award certificates may be placed in Chapter/Division Archive Scrapbooks as desired.

 

The ALCA Historian will assist the ALCA Awards and Resolutions Chair by providing a photographer to make pictures for use in the Archives. Reprints may be made for a fee and purchased by divisions and chapters for newspaper publicity and by award recipients for documentation purposes. Posed pictures may be made during or after the presentations.

 

The ALCA Awards and Resolutions Chair will forward a notification to the awardee’s employer or designee of the award received.

 

The ALCA Awards and Resolution Chair will forward a notification of the award to the newsletter editor of the appropriate Division or Chapter. This material will be used for publicity in the chapter/division newsletter and area newspaper.

 

The ALCA Awards and Resolutions Chair will send one copy of all relevant nomination materials in notebook form to the ALCA Historian for the Alabama Archives. This notebook shall be representative of the process rather than comprehensive and extraneous materials may be eliminated at the discretion of the Chair.

 

The ALCA Awards and Resolutions Chair will forward a news release to the editor of the newsletter for the Winter issue which names all award nominees and recipients at the Annual Conference unless a winner elects not to allow their name and picture to be included in the issue.

 

Resolutions, other than those for deceased or retiring members, may be submitted by the membership no later than the ALCA Executive Council meeting time at the Annual Conference. Resolutions are preferred by Deadline 1 if possible.

 

Expenditures for the ALCA Awards and Resolutions Committee will be covered through the state budget guidelines, and a report of monies used will be provided at the ALCA Executive Council meeting and Awards and Resolutions Committee meetings.

 

The ALCA Awards and Resolutions Chair will appropriately handle any special memorandums from the state and national levels. Past records of minutes and business transacted by the committee will be passed to the succeeding ALCA Awards and Resolutions Chair in an organized notebook form.

Recommendations to establish new standing awards or to recognize or award persons and/or contributions falling outside the definition of standing awards must be agreed upon by two-thirds of the Awards and Resolutions committee and be forwarded as a motion to the ALCA Executive Committee for approval.

 

This awards process is designed to reflect the highest character and service of the Alabama Counseling Association. As such, both the chair and committee shall guard the process from any suggestion of impropriety including but not limited to favoritism, manipulation, or political exploitation. In the event that any such impropriety is suspected, the chair shall notify both the incumbent ALCA President and the Ethics Chair for investigation of and potential sanction of any parties involved. In the event that any such impropriety is substantiated, the nominee and any involved parties shall be notified. Care shall be exercised to protect the character and good name of all parties but especially anyone who is an unwitting participant in such. Sanction may include but is not limited to disqualification of the nominee if they are found to be culpable in the impropriety.

 

The chair and committee shall guard against any conflict of interest in the selection of awards winners. In the event that a committee member is nominated or has any other conflict of interest, the member shall abstain from participating in decisions related to the award. In such a case, a designee shall be appointed to rate nominees from within their Chapter/Division for the purpose of rating a nomination or voting on the recipient of an award. In the event that there is no suitable designee, the member shall abstain from participating in any vote related to the award in which they have a conflict.

 


AWARDS TIMELINE

 

The following is the timeline leading up to Annual Conference in November.

 

DEADLINE 1  -  September 9th is the postmark deadline for chapters and divisions to submit nomination materials. Please send one copy of each nomination packet (including all supporting information).

 

Electronic (E-MAIL) submissions are acceptable and encouraged but must also be received by the deadline!

 

Make sure that you follow the criteria for each nomination (the descriptions in your ALCA Awards Notebook & the Rating Sheets are the best guides).

 

Send no rating sheets with this mailing. You will be notified via email when all the nominees will be available for viewing electronically.

 

Please mail your nominations to the ALCA State Awards & Resolutions Chair.

 

DEADLINE 2  -  September 23rd - The ALCA State Awards & Resolutions Chairs will e-mail Chapter/Division Awards Chairs with the appropriate information for logging on and viewing/rating the nominees for each award. Some of the awards may appear similar.

 

Carefully read the criteria and decide if the submitted nomination meets the criteria.

 

Print and complete the rating sheet for each nominee, clearly indicating your choice of a winner for each award. Be sure that for each award, you are not submitting a “tie” for your choice of a winner.

 

Please mail completed rating sheets (the rating sheets only, and not the whole packet) to the ALCA State Awards & Resolutions Chairs.

 

DEADLINE 3 -  October 7th is the postmark deadline for Chapter/Division Awards Chairs to mail rating sheets. Late receipts will not be considered for the award.

 

DEADLINE 4 - October 22nd – State Awards and Resolution Committee (made of all Chapter/Division Awards Chairs) will meet to conduct its Annual Meeting and to tally results for the Awards. This committee meeting time and location will be determined by the Awards and Resolution Chairs.

 

DEADLINE 5 - October 26th  – ALCA State Awards & Resolutions Chairs will order certificates and plaques.

 

The ALCA Annual Awards Breakfast takes place every November on the first day of the ALCA Annual Conference.   All nominees and award winners will be recognized at this awards ceremony.

The 2011 Awards Breakfast will take place on Wednesday, November 16.

 

 


AWARDS SUMMARY

 

Chapter/Division Outstanding Member Award: The Executive Committee of the Chapter or Division makes this award with the results forwarded to the State Committee. Deceased or retiring members are eligible for this award at the local level.

 

Research Award: The research award is presented to honor and recognize outstanding research in areas of interest to the counseling profession.

 

Individual Publication Award: Individual publication award is presented to recognize scholarly and timely publications of interest to counselors, and to encourage future research.

 

Chapter/Division Publication Award: This award goes to a chapter/division to recognize the outstanding publication for its membership.

 

Chapter/Division Program Award: This award goes to the chapter/division that provided a unique or superior program for its membership.

 

Chapter/Division Service Award: This award recognizes a particularly unique or valuable service provided for the chapter/division membership.

 

Distinguished Legislative Service Award: This award is to recognize the outstanding legislative work of an ALCA member or active legislator.

 

Distinguished Professional Service Award: The distinguished professional service award is given to an individual who has served at the local, state or national level and brought honor and recognition not only to the individual but also to the Alabama Counseling Association.

 

Fannie R. Cooley Distinguished Professional Development Award: This award recognizes the professional development of an individual. Professional development is defined as the intentional strengthening, expansion, enhancement, improvement and extension of the profession.

 

Wilbur Tincher Award for a Humanitarian and Caring Person Award: This award is given to a person to honor a person who gives without fanfare or expectation of reward. It also includes a grant of $100.00. Wilbur Tincher, a counselor educator and former executive secretary of the Association provided the initial funds for this grant.

 

Jean Cecil Distinguished Counselor Educator Award: For those of you who don’t know, Jean Cecil served ALCA in more ways than time allows us to mention. She set the standard for Counselor Educators in this State. This award recognizes the close relationship of counselor educators and the association by recognizing an exemplary counselor educator and mentor.
