STATEWIDE EVENT

 

One of the central events of the Alabama Counseling Association is the statewide Annual Conference, usually held in November in a specified metropolitan location (Huntsville, Birmingham, Montgomery, Mobile).

 

Each year, this large-scale convention, which usually runs for three days in the Fall, brings together ALCA members from around the state for continuing education, professional development, recognition, networking opportunities, camaraderie and fellowship, social interaction, and general celebration.

 

The ALCA Annual Conference is usually presented in the context of a theme or slogan, sometimes reflective of a particular focus or platform, selected by the current President.

 

The ALCA Annual Conference usually features nationally known keynote speakers, content sessions (training sessions, seminars, workshops), business meetings, awards ceremonies, Chapter meetings, Division meetings, poster presentations, entertainment, exhibits, vendors, and various receptions, breakfasts, and luncheons.

 

The ALCA Annual Conference provides members the opportunity to increase learning and hone skills through attendance at the various content sessions. These content sessions are seminars or workshops on a variety of topics relevant to counseling. They are presented by ALCA members who are willing to share their knowledge and expertise. These content sessions were first submitted as proposals and then approved by each of the ALCA Divisions which agreed to sponsor them.

 


CONFERENCE COMMITTEE

 

The ALCA Annual Conference becomes a reality each year through the combined efforts and dedication of the many volunteers who participate in the planning and implementation of this major event.

 

Overseeing the various activities surrounding the ALCA Annual Conference is the Executive Director, President, President-Elect (Program Chair), and Conference Chair.  An extensive number of volunteers are appointed to the various conference committee functions, which might include: registration, publicity, ads and exhibits, public relations, customer service, entertainment, hospitality, decorations, and signage.

 


PROGRAM SUBMISSION

 

Division Presidents should take an active role in encouraging their members to participate in the ALCA Annual Conference as program presenters.  Division Presidents can ensure that there is optimum program representation for their Division by urging their members to submit program proposals on topics relevant to the needs and concerns of their Division.

 

All programs are submitted to the ALCA Conference Program Committee for consideration as a Conference Content Session and include the following categories:

 

Regular Programs

Proposals should be planned to remedy gaps in knowledge, to provide skills, innovative methodologies and procedures, and to be responsive to the interests of Association members.

 

Student Programs

Graduate and Undergraduate students are invited to submit programs related to counseling and development practices. Faculty members should encourage students to submit proposals.

 

Research Programs

Submission of recent research findings and their practical applications are invited. Researchers whose programs are selected are encouraged to bring copies of their work for distribution at the sessions.

 

Ancillary Programs

ALCA related groups may schedule committee/commission and chapter/division meeting and/or social events for listing in the Conference program book.

 


PROGRAM SELECTION

 

The ALCA Program Committee is composed of the ALCA Program Chair, the ALCA Annual Conference Chair and a Representative from each Division. The Division Representative shall be appointed by the Division President.

 

Each Division Representative is responsible for ensuring that his or her Divisionís interests are reflected in the content session offerings at the ALCA Fall Conference.  The Division Representative is expected to attend the Program Selection Meeting, immediately following the Summer Executive Council Meeting to participate in the formal program selection process. Through this process, each Division is given the responsibility of assigning sponsorship to their designated percentage of content sessions to be presented at the ALCA Annual Conference.  Sponsorship of each content session shall be noted in the Fall Conference program book.

 

Content program proposal forms shall ask those submitting proposals to indicate the intended sponsor for the program. Sponsorship is usually indicated by the name of the Division.

 

The number of content program slots shall be determined by the ALCA Program Chair (President-Elect), taking into consideration the number of slots allotted in the past years and the number of rooms available for content programs.

 

Eighty percent (80%) of the available content program shots shall be assigned to divisions as determined by the percent of the total ALCA membership of the Division.

 

Twenty percent (20%) of the available content program slots shall be assigned to ALCA. By recognizing that the membership of ALCA share common interests in addition to the specific interests of their division memberships, the opportunity exists for developing ALCA membership identity.

 


PROGRAM COMMITTEE

 

The Program Committee shall plan all official programs of the Association. The President-Elect shall serve as Chairperson. The Program Committee by virtue of the position of the President-Elect shall be responsible for the selection, formulation and implementation of the ALCA Annual Workshop Program. This program formulation is conducted in conjunction with the Executive Council and the Fall Conference Committee, but it is the specific responsibility of the program chairperson to direct the efforts of soliciting and selecting the content sessions and scheduling them for presentation.

 

The Program Committee and its Chairperson shall also be responsible for the writing, compilation, printing, and publication of the Annual Conference program book.

 

The Chairperson shall secure the appointment of the program committee. This appointment is made for each division President. The Chairperson shall design and distribute the call for content session presentations. The Chairperson shall distribute the call for content forms to various interested groups. The Chairperson shall arrange for and conduct the program selection meeting. The Chairperson shall notify all content session applicants of acceptance or rejection. The Chairperson shall compile the Fall Conference program book. The Chairperson shall assign the content session participants to appropriate facilities. The Chairperson shall contact and arrange for keynote speakers and/or mini-workshop participants. This is to be done in conjunction with the ALCA President and Fall Conference Coordinator. The Chairperson and the Workshop Coordinator shall accept/decline invitations in consultation with the President or President's designee.
